This policy explains how Projex Solutions Limited (“Projex”, “we”, “us”) collects and uses personal information when you visit projexsolutions.co.uk, contact us, use our DSEAR self-check, apply for a job or meet us at an event. We handle personal information in line with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).

1. Who we are

Projex Solutions Limited is the controller of your personal information. We are registered in England and Wales under company number 04636145, and our registered office is St Pegs House, Thornhill Beck Lane, Brighouse, West Yorkshire, HD6 4AH. We are registered with the Information Commissioner’s Office (ICO) under reference ZB113669.

2. The information we collect

Information you give us

Enquiries: when you use our contact form, email or call us, we collect your name, business name, email address, phone number and anything you include in your message.
DSEAR self-check: to view your report, we ask for your business name, name, telephone number and email address. We use the answers you enter to produce your results.
Job applications: if you apply for a role, we collect your CV and any other details you send us, such as your qualifications, work history and contact details.
Events and competitions: if you enter a competition or leave your details with us at an event, we collect your name, email address, business name and job role.
Business relationships: we hold contact details for people at the clients, suppliers and partners we work with.

Information collected automatically

Analytics: if you accept statistics cookies, Google Analytics collects information about how you use the website, such as the pages you visit, how long you stay, how you found us, your approximate location and the type of device and browser you use. We do not use analytics cookies unless you accept them.
Spam protection: our forms use Google reCAPTCHA, which collects information about your device and how you use the form to check that it is being completed by a person, not an automated program.
Server logs: our website host records technical information such as IP addresses and browser types to keep the website secure and working properly.

3. How we use your information

We only use your personal information where the law allows us to. For each purpose, the lawful basis we rely on is shown in brackets.

To reply to your enquiry, prepare a quote or proposal and discuss your project (legitimate interests in responding to business enquiries, and taking steps at your request before entering into a contract).
To provide your DSEAR self-check report and follow up on your results (legitimate interests).
To deliver our services and manage our relationships with clients, suppliers and partners (performance of a contract and legitimate interests).
To send business contacts occasional news about our services and events that is relevant to their role (legitimate interests). You can opt out at any time.
To assess job applications and recruit (legitimate interests, and taking steps before entering into a contract of employment).
To run competitions at events and contact winners (legitimate interests).
To understand how visitors use our website so we can improve it (consent).
To keep our website and forms secure and prevent spam (legitimate interests).
To keep business records, meet our legal and regulatory obligations and deal with any legal claims (legal obligation and legitimate interests).

We do not sell your personal information, and we do not make decisions about you using solely automated processing.

4. Who we share it with

We only share your information where it is needed for the purposes above, with:

service providers who support our business, such as our website host, email and IT providers, and Google (Analytics, reCAPTCHA and Maps). They act on our instructions and must keep your information secure;
professional advisers, auditors and insurers;
regulators, law enforcement or other authorities where we are required to by law; and
a buyer or successor if all or part of our business is sold or restructured.

Embedded content and social media: some pages include Google Maps and YouTube videos. These only load if you accept marketing cookies, and once loaded Google and YouTube may collect information under their own privacy policies. If you interact with our LinkedIn, Facebook, X or YouTube pages, those platforms also process your information under their own policies.

5. International transfers

Some of our service providers, such as Google, may process personal information outside the UK. Where this happens, we make sure appropriate safeguards are in place, such as UK adequacy regulations, the UK Extension to the EU-US Data Privacy Framework, or the ICO’s International Data Transfer Agreement or Addendum.

6. How long we keep it

Enquiries and business contacts: for as long as we need to deal with your enquiry and any resulting work, and to keep appropriate business records.
Client and project records: for as long as required for contractual, tax, insurance and legal purposes.
Job applications: for a limited period after the role is filled, unless you agree that we can keep your details for future vacancies.
Google Analytics data: 14 months.

Even after we delete your information, it may remain in secure backups for a short period before being overwritten.

7. How we protect it

We use appropriate technical and organisational measures to protect your personal information, including encrypted (HTTPS) connections to this website, restricted access to systems and information, and staff awareness. Projex Solutions is certified to ISO 9001:2015, and our certified quality management system includes controls on how we manage and protect documented information.

8. Your rights

You have the right to:

ask for a copy of the personal information we hold about you;
ask us to correct information that is inaccurate or incomplete;

object to us using your information, including for direct marketing at any time;
ask us to transfer information you have given us to another organisation; and
withdraw your consent at any time, where we rely on consent. You can change your cookie choices using the Cookie settings link at the bottom of every page.

To use any of these rights, please contact us using the details in section 1. There is usually no charge, and we will respond within one month. If your request is complex, we may need up to two further months and will tell you if so. We may ask you to confirm your identity before we act on a request.

9. Complaints

If you are unhappy with how we have handled your personal information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator for data protection, at ico.org.uk/make-a-complaint or by calling 0303 123 1113.
